What outsourced IT support costs a Malaysian SME, how per-user, ad-hoc and project pricing differ, and a worked example for a 30-person office using published rates.
IT Support Cost in Malaysia: How It Is Priced
If your company has no in-house IT person, someone — often HR or Admin — ends up chasing laptop problems, preparing machines for new joiners and collecting them back when people leave. Outsourced IT support takes that work over. The question is what it costs, and why quotes from different providers are so hard to compare.
Most IT support in Malaysia is priced in one of four ways:

Ad-hoc looks cheapest until something goes wrong in a busy week. A per-user contract costs more on a quiet month but turns IT into a budget line with named exclusions.
Published Per-User Prices (TechFix Managed IT)
Few Malaysian providers publish their rates. These are TechFix's published Managed IT plans:

What each level adds:
- Support — business-hours remote helpdesk, device and user inventory, patch guidance and a monthly report. You keep the decisions; the provider answers tickets.
- Managed — everything in Support, plus an asset ownership and warranty register, onboarding and offboarding preparation, preventive maintenance and lifecycle planning, and a four-hour response target.
- Managed Plus — everything in Managed, plus Microsoft 365 administration, endpoint monitoring and patch management, and a quarterly technology review.
One-time onboarding (registering devices, reconciling who has what, setting up support) is RM100 per device with a RM2,500 minimum, and is waived when you prepay twelve months.
Worked Example: A 30-Person Office
Take a 30-person office with one laptop each:

Two things change the number more than anything else:
- The minimum. A 10-person office on Managed would be RM1,490 at the per-user rate, but the RM3,500 minimum applies — an effective RM350 per person. Small offices should check the minimum before the per-user rate.
- Onsite needs. If most problems can be fixed remotely, Support is enough. If you need someone in the office every month — setting up new joiners, checking the printer, swapping a battery — the included hours in Managed usually cost less than paying for visits one by one.
What Is Usually NOT Included
Whichever provider you choose, read the exclusions. Commonly quoted separately:
- Replacement parts and new hardware
- Software licences (Microsoft 365, antivirus, accounting software)
- Cabling, network builds and office moves
- Migrations and other one-off projects
- Onsite time beyond the included hours, and emergency after-hours call-outs
A low monthly fee with a long exclusions list can cost more than a higher fee that covers what you actually use.
How to Compare Two Quotes
Put every quote into the same table before deciding:
- Who is covered? Per user or per device — and are spare laptops included?
- What is the monthly minimum?
- How many onsite hours are included, and what does an extra hour cost?
- What is the response target, and is it written into the contract?
- Is the asset register included, and do you get a copy?
- Who prepares laptops for new joiners and collects them from leavers?
- What is excluded, and how are exclusions quoted?
- What is the onboarding fee, and can it be waived?
- Contract term and notice period.
If a provider will not answer these in writing, the quote is not comparable.
Outsourced vs Hiring Someone
A full-time IT hire gives you a person on site every day, but you also carry their salary and statutory contributions, cover for leave, tools and training — and one person cannot know everything. Outsourcing gives you a team and a fixed fee, but no one sits in your office full-time. Many 20–80 person companies land in between: outsourced support with a few included onsite hours each month.
